Refund policy

1. Our Commitment
At USVE, we understand that plans can change. This policy explains what happens if you need to cancel your booking or if we need to make changes to an event.
Outdoor adventures often involve advance bookings for guides, accommodation, transport and permits. For this reason, different cancellation terms may apply depending on the type of adventure you have booked.
Our aim is always to help participants transfer to another adventure wherever possible. We would much rather see you on a future USVE event than miss out completely.
2. Cancelling a UK Day Hike
We understand that plans can change, and we'll always try to be as flexible as possible.
If you need to cancel your place on a UK guided day hike:

7 or more days before the event: You may either:
- Transfer your booking to another advertised USVE UK day hike (subject to availability), or
- Request a refund, less any non-refundable payment processing fees.
- Less than 7 days before the event: Refunds and transfers are not normally available, as guides, catering and other event costs will already have been committed.
If another participant is able to take your place before the event, we may, at our discretion, allow you to transfer your booking. Any additional costs incurred in making the transfer may be payable by the original participant.
3. Weekend Adventures & Camping Trips
Weekend adventures often include accommodation, campsite bookings, transport and other costs that are committed in advance.
If you cancel:
- More than 30 days before departure: You may request a transfer to another suitable USVE event or a refund, less any non-refundable costs already incurred.
- 15–30 days before departure: Transfers may be offered where practical. Refunds are generally not available.
- Less than 15 days before departure: No refund will normally be available.
Accommodation, campsite and transport costs that have already been paid to suppliers are generally non-refundable.
4. International Expeditions
International expeditions require significant advance commitments with airlines, accommodation providers, mountain guides, local operators and permit authorities.
For this reason:
- Deposits are generally non-refundable unless stated otherwise on the specific trip page.
- Balance payments become non-refundable once they have been paid to suppliers on your behalf.
- If you cancel after supplier payments have been made, USVE can only refund amounts successfully recovered from those suppliers, less any administrative or payment processing costs.
- We strongly recommend purchasing comprehensive travel insurance immediately after booking.
Each expedition may have additional cancellation terms, which will be clearly stated on the individual trip page.
5. Adventures Delivered by Third-Party Travel Partners
Some adventures are delivered in partnership with licensed travel operators or specialist expedition providers.
Where this applies:
- Cancellation terms from the travel partner may also apply.
- Any refunds will be subject to the partner's booking conditions where they relate to the travel services they provide.
- USVE will make these additional terms available before your booking is confirmed.
Where there is any conflict between this policy and a legally required policy issued by the travel operator, the operator's cancellation policy will apply to the travel services they provide.
6. Deposits
Unless otherwise stated:
- Deposits secure your place on an event.
- Deposits are generally non-refundable.
- Deposits may be transferable to another USVE event at our discretion where operationally possible.
Some suppliers do not permit transfers, and in these cases deposits cannot be transferred.
7. Finding a Replacement Participant
If you can find someone suitable to take your place before the event:
- We will make reasonable efforts to facilitate the transfer where practical.
- The replacement participant must meet any fitness, age or booking requirements.
- Any additional costs charged by suppliers or payment providers may be payable by the original participant.
Transfers cannot be guaranteed and remain at our discretion.
8. If USVE Cancels an Event
Occasionally we may need to cancel an event due to circumstances such as:
- Insufficient participant numbers
- Severe weather
- Safety concerns
- Guide illness
- Access restrictions
- National park closures
- Other operational reasons
Where this happens, we will normally offer one of the following:
- Transfer to another available event.
- Credit towards a future USVE adventure.
- A full refund of the amount paid directly to USVE.
USVE is not responsible for any additional personal costs incurred, including but not limited to travel, accommodation, equipment hire, loss of earnings or other consequential expenses.
9. Itinerary Changes
Outdoor adventures are unpredictable.
We may need to make reasonable changes to:
- Routes
- Meeting locations
- Timings
- Accommodation
- Activities
- Guides
- Transport arrangements
These changes do not automatically entitle participants to a refund where the overall nature of the adventure remains substantially the same.
10. Weather
We operate in all seasons and many weather conditions.
Events will not normally be cancelled due to rain, wind, snow or cold unless we believe conditions present an unacceptable safety risk.
If an event proceeds, participants choosing not to attend due to weather preferences will not normally be entitled to a refund.
11. Participant Safety
USVE reserves the right to refuse participation or remove a participant if:
- They arrive without essential equipment.
- They appear unfit to safely complete the activity.
- They fail to follow guide instructions.
- Their behaviour places themselves or others at risk.
In these circumstances, refunds will not normally be provided.
12. Travel Insurance
For international expeditions, comprehensive travel insurance is strongly recommended and may be mandatory where stated on the trip information.
Your insurance should include cover appropriate to your planned activity, including trekking, mountaineering, high-altitude travel and emergency evacuation where applicable.
Participants are responsible for making any insurance claims relating to cancellations, illness, injury or other unforeseen circumstances.
13. Force Majeure
USVE cannot be held responsible for cancellations or changes resulting from events beyond our reasonable control, including but not limited to:
- Extreme weather
- Natural disasters
- Wildfires
- Flooding
- Government restrictions
- Industrial action
- Political unrest
- Public health emergencies
- Acts of terrorism
- Transport disruption
- Closure of mountains, trails or national parks
Where possible, we will work with participants and suppliers to offer suitable alternatives, credits or refunds where available.
14. Refund Timescales
Where a refund is approved:
- Refunds will normally be processed using the original payment method.
- Please allow up to 14 business days for processing, although payment providers may take longer to return funds to your account.
